Formed – Platform to hire medical staff
I joined the Formed team in early October 2023, not knowing anything about the recruitment of medical staff processes and how different it is from what I experienced as an IT professional job-seeker. Formed surprised me with their unique approach to hiring: it should be simple, stress-free, and time-saving. After just one interview, I was already on board, learning as much as I could about medical hiring processes. My colleagues shared similar values to mine, believing that the UI should be intuitive and simple, and the UX should leave users without second-guessing and wanting to come back. Additionally, as a job-seeker, I already knew how stressful and tiring the process of finding a new job was. I could personally relate to the goal of simplifying the recruiting process for both professionals and companies. Since we had so much in common with Formed's values and approach, I already felt that this project would feel personal to me and that I would love working on it. Formed came up with the idea of "Wishes," and I will explain to you soon why I got excited about it and what makes it so revolutionary.

The Formed platform users are always the recruiters from the company. The main function of the platform is to post open positions, browse professionals and chat with them. There is also a Formed App, which is a mobile application for Android and iOS and the user is always a medical professi
onal. In this case, I will guide you through the employers point of view and the App case can be read here.
The first on the menu is the Dashboard page, a place where the recruiter can see recent updates, such as "Uusimmat Toiveet," which translates to "New Wishes." The "wish" is left by the app user, who are the medical professionals looking for a new gig or a place to work. Also, here the recruiters can view new messages coming from the applicants.
This page has been redesigned by me more than I can remember, and at the end of this case study, I will include the first and the last draft of each page of the platform.

I would say that the Wishes (Toiveet in Finnish) is the heart of the platform, while the Dashboard is the head. This is what makes Formed one of the most unique recruiting applications known to man. Here the recruiters browse on a daily basis the wishes of medical professionals, and the main criteria are:
Location
Years of Experience
Type of contract
Salary (hourly or monthly)
By showcasing this information left by users, it helps to make sure that both parties are on the same page and know the deal. Since there is an increasing need for medical workers in Finland, it is known to be a challenging process to hire new staff and find a specific doctor for a certain position. The Wishes page's main focus is to make it easier and more accessible. Medical professionals (app users) can leave as many wishes as they want and get contacted by the companies directly, who already know, thanks to wishes, what to offer.

This is an example of a full-page view of a wish left by a nurse, Elisabetta. It is a combination of Elisabetta's profile and her wish, which is highlighted on the left. All information, such as languages, education, and anything else that is relevant, is mentioned here. The "Send Message" button is visible right under the name to start chatting with Elisabetta. The recruiter can see if the professional has been contacted already by someone from their company or not, to avoid awkward situations.

Another way of finding new applicants is by posting your company's open positions. This view shows active jobs and how many people are interested in each position under "Kiinnostuneet." These jobs are browsed by the app users, and when they find something that interests them, they hit the "I'm interested" button to let the recruiters know that they would like to be contacted.

Here, the platform users can view information about the posted job, edit or delete it, as well as see who is interested in it and get in touch with them.

The Messages page is where the discussion and negotiation happen. You might have noticed that some chats are marked with a heart or a star icon, and this is done to help recruiters differentiate which professionals are interested in the position (star icon) and which are contacted based on their own wishes (heart icon).

Finally, the Company Profile or Asetukset. The company information is located on this page, and it will also provide a view of how their profile looks to the mobile app users. This page contains information about the company's locations and employees that are registered on the platform. Here, the recruiters take control of how their page is presented to others and what information is displayed. You can see from the mockup in the bottom right corner that users will also see all the company's active positions from this page.

This concludes the main chapter about the Formed Platform, and I hope you liked it! Behind the scenes, a total of 54,775 frames were made in Figma (Platform and Mobile all together), making this officially one of the biggest projects I have been involved in. It had its ups and downs (mostly ups), but I am happy with how it turned out in the end. Of course, by 'the end' I mean its current "final" state, which is decent enough, but as my university teacher loved to say, there is always room for improvement. And it couldn't be more true in this case as well. I believe that there are plenty of new features and design changes that will be done in the near future. There is still so much potential, and I'm looking forward to seeing how it will turn out in the future. But for now, enjoy the promised "Before and After" pictures!
My first drafts ever (October 2023) vs. the live version at the moment (August 2024).
